Industries — Hospitality & Tourism

Three times the guests—not three times the payroll.

Hotel and hospitality operations automation for properties whose year isn't evenly shaped.

A peak season doesn't reward a bigger team so much as it punishes a slow process. Every manual handoff you can live with in February costs you a room, a cover or a review in July. We build the system that absorbs the tempo—that's Capacity Engineering™.

What we believe in

Your constraint isn't the number of rooms—it's how many handoffs stand between a booking and a clean one.

Quick Outcomes

What changes when the season stops breaking things

Four results a general manager can see by the end of a season.

Turn rooms faster
Housekeeping sees a departure the moment it happens, not at the next status meeting.
Schedule against real demand
Labour built from the book you actually have, with the manager keeping the final call.
Onboard a crew in days
A new hire follows the workflow instead of learning which spreadsheet is current.
Know the number now
Occupancy, covers and labour cost in one place, during the season rather than after it.

Today's friction

  • Bookings re-keyed between the engine, the PMS and the spreadsheet the front desk actually uses
  • Housekeeping working from a printed list that was accurate at 7am
  • Labour scheduled two weeks out against a forecast nobody has revisited
  • Maintenance requests living in a group chat
  • Purchasing guessed from last year, then corrected by a mid-week run to town
  • Season performance assembled in October, when nothing can be done about it

With a system

  • One record per stay, shared by every function that touches it
  • Housekeeping and maintenance updated as status changes, on the device they already carry
  • Demand forecast from the live book; the manager approves the roster
  • Requests raised, routed, tracked and closed with an owner and a clock
  • Purchasing driven by covers on the books, not last season's memory
  • The season's numbers visible while the season is still running

Who We Help

Properties and operators, not chains

  • Independent hotels, lodges and resorts running their own front and back of house
  • Restaurant groups where covers, purchasing and labour are managed separately
  • Outfitters, guides and tour operators with a booking calendar and a fleet
  • Vacation rental and property managers coordinating turnovers across owners
  • Attractions and venues whose year is decided in a handful of months

If your summer is several times your winter, the case for a system is stronger than it is for a business with even demand—not weaker. The cost of a slow process is multiplied by exactly the weeks you cannot afford to lose.

What We Build

The operation, not another dashboard

Core workflow

  • Reservation, stay and folio as one shared record across every function
  • Housekeeping and maintenance dispatch with status that updates itself
  • Demand-led labour scheduling with the manager's approval in the loop
  • Purchasing and inventory driven by what is actually on the books
  • Guest messaging that knows where the stay has got to

Foundation

  • Integrations with the PMS, booking engine and POS you are keeping
  • One occupancy, covers and labour-cost view, live through the season
  • Seasonal onboarding built into the workflow rather than a training week
  • Role-aware access so seasonal staff see their work and nothing else
  • A record that survives the crew turning over every year

What you can count on

Guest data handled properly

Designed to your obligations around guest and payment data, with access scoped by role. We design controls to your requirements; we don't hold certifications on your behalf.

A person decides

Rates, comps, overbooking and rosters route to whoever owns them. AI drafts and forecasts; it doesn't decide.

Yours at the end

Source, data and roadmap. You're never one vendor away from a standstill in the middle of a season.

Built around your calendar

Phase one lands before the tempo picks up, and we don't schedule a review in the middle of your peak.

How we work

Start with the constraint, prove value, then scale.

Blueprint
Map the constraint, plan the phases
A focused engagement that maps how a booking actually becomes a clean, billed, reviewed stay—and where that breaks when the valley fills up.

What we map

  • Booking to checkout, end to end
  • Seasonal peaks and the roles that absorb them
  • PMS, POS and booking-engine reality
  • Where revenue leaks and where hours go

What you get

  • A phased roadmap sequenced around your season
  • Outcomes and KPIs per phase
  • Keep / improve / replace on every tool
  • Effort and change plan
Phased delivery
Implement one phase at a time
Each phase lands in a shoulder season and is live before the next peak, so value arrives early and risk stays low.

Each phase includes

  • Workflow design and standards
  • Tooling selection and configuration
  • Automation and AI where it pays
  • Training built into the work
  • Dashboards and an operating cadence

We scope around your calendar, not ours. In the Flathead, the Gallatin Valley and North Idaho that usually means building through the shoulder season and going live before the season opens.

Frequently asked questions

Our season is four months. Is a system worth it for that?

The season is precisely why it is. A business with even demand can absorb a bad process; yours cannot, because the cost of every manual step is multiplied by the weeks you can't afford to lose. We scope phase one to be live before the tempo picks up, and we build through shoulder season rather than in the middle of your summer.

Can it flex for a summer peak without permanent staff?

That's what it's built for. The routine work of a peak—confirmations, room turns, scheduling against forecast—is carried by the system, so the extra tempo is absorbed by process rather than by permanent hires you'd carry through winter.

We hire a new crew every year. Won't a system just be one more thing to train?

That's the argument for it. Most seasonal onboarding is teaching people the workarounds — which spreadsheet is current, who to ask, what the system doesn't do. A workflow that carries the rules means a new hire follows the process rather than learning the exceptions, and the training is the work rather than a week that precedes it.

We run more than one property. Do they have to work the same way?

No, and they usually shouldn't. The record should be shared so that a consolidated view is real rather than reassembled, while each property keeps the parts of its operation that are genuinely different. Standardising everything is how multi-property rollouts fail.

Will this replace our booking engine or our POS?

Usually not. Those are the systems worth keeping, and the loss is almost always in the gaps between them — bookings that don't reach housekeeping, covers that don't reach purchasing, labour scheduled against last week's demand. We integrate around what you're keeping and build only what nothing you own does.

Who decides what the AI does?

A person, at every point where the decision carries money or a guest. AI assembles, drafts, forecasts and flags; overbooking calls, rate changes, comps and staffing decisions route to whoever owns them. We design the checkpoints with you and they're visible in the workflow rather than buried in a setting.

What does it cost, and what's the commitment?

It starts with a free 30-minute Constraint Call. If there's a system worth building, the Blueprint is a fixed fee credited in full against your first delivery phase, and delivery is scoped phase by phase — never an open-ended retainer. If your constraint is better solved by configuring what you already own, we'll say so.

Find your constraint. Get capacity back.

A free 30-minute call. We'll name the one constraint holding you back and the fastest path past it—whether or not you work with us.
